Job Title: Executive Secretary

Key Responsibilities:

· Executive Support: Provide comprehensive administrative support to top-level executives, other key executives, by managing their calendars, organizing meetings, and handling correspondence.
· Communication Liaison: Act as a primary point of contact for internal and external communication, screen phone calls, emails, and correspondence, and direct inquiries to the appropriate individuals.
· Documentation and Records: Maintain and organize important documents, records, and files. Prepare reports, presentations, and executive summaries as needed.
· Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for executives, and ensure all travel-related logistics are well-coordinated.
· Meeting Coordination: Schedule and coordinate meetings, conferences, and special events, including preparing meeting agendas, taking minutes, and distributing necessary materials.
· Data Management: Assist in data entry, data analysis, and data reporting, as required by the executive team.
· Confidentiality: Handle sensitive information with the utmost discretion and ensure that confidentiality is maintained at all times.
Qualifications:
· Proven experience as an executive secretary, administrative assistant, or in a similar role.
· Proficiency in office software (e.g., Microsoft Office Suite) and the ability to learn new software quickly.
· Strong organizational and time management skills.
· Excellent communication and interpersonal abilities.
· High level of professionalism and discretion.
· Attention to detail and ability to multitask effectively.
· Bachelor’s degree or relevant certification is a plus.
